BrightHR links with Xero Payroll to cut SME errors

BrightHR Australia has launched a direct integration with Xero Payroll aimed at small and medium-sized businesses managing payroll and compliance in Australia.

The integration connects BrightHR's workforce management software with Xero Payroll through an API, allowing approved timesheet, roster and leave data to flow directly into payroll. The company says this is designed to remove manual data re-entry and reduce payroll errors linked to spreadsheets and separate systems.

Payroll accuracy has become a sharper issue for Australian employers as businesses navigate modern award rules, overtime, allowances and penalty rates. Errors in timesheet handling or pay calculations can lead to underpayments, back-pay obligations and regulatory scrutiny.

For smaller employers, those risks can be harder to manage because payroll and rostering often fall to owners or line managers rather than specialist HR teams. The administrative burden can increase further in businesses that run shift work and employ staff across different classifications.

The integration automates the transfer of verified digital timesheets, rosters and leave approvals into Xero Payroll. BrightHR says the system also applies award rates, allowances, overtime and penalty rates in real time, while keeping digital records of clock-in and clock-out data, manager approvals and pay adjustments.

Record-keeping is a central part of the offer, particularly for employers that need to retain payroll documentation over long periods. The system also includes employee self-service functions, allowing workers to view rosters, log hours and check leave balances through the BrightHR mobile app.

Mollie Eckersley, Associate Director of Operations, ANZ, at BrightHR Australia, outlined the company's view of the challenge facing smaller employers.

"Processing payroll manually or relying on disjointed spreadsheets is a major vulnerability for small businesses. Australian modern awards are extraordinarily complex, with penalty rates, overtime and allowances changing based on specific shift patterns. When managers are forced to manually transfer timesheets into payroll software, human error is almost inevitable," said Mollie Eckersley, Associate Director of Operations, ANZ, BrightHR Australia.

She said the direct software link removes a step that often introduces mistakes into payroll processes.

"Direct integration between BrightHR and Xero removes that human touchpoint entirely, ensuring every calculated hour translates instantly and accurately into correct pay," said Eckersley.

Compliance pressure

The product launch comes as wage compliance remains a major concern for employers across Australia. Businesses face pressure to keep up with detailed award settings and maintain records that can withstand scrutiny if pay practices are questioned.

That pressure has increased as wage theft has become a more prominent legal and reputational issue. While deliberate underpayment is the main target of criminal sanctions, accidental errors can still expose employers to audits, repayment orders and public criticism.

Software suppliers have increasingly responded by linking scheduling, attendance and payroll systems so fewer steps rely on manual intervention. The aim is to reduce the risk that approved hours or leave data are altered, missed or entered incorrectly before wages are processed.

BrightHR says the integration gives businesses end-to-end visibility from clock-in through to payroll. In practice, that means managers can move from roster and attendance records to wage calculations through one connected process rather than separate transfers or file exports.

SME focus

BrightHR serves small and medium-sized businesses in Australia and New Zealand and is part of Peninsula Group. Its software is used for employee scheduling, time tracking and compliance management, placing it in a market where providers are competing to offer employers simpler ways to manage workplace obligations.

The company argues that payroll compliance should be treated as a business risk issue rather than only an administrative task. Eckersley said the combination of stricter enforcement and complex pay rules has made manual processes harder to justify.
